Privacy Policy

This policy explains how Swallow Sound (“we”, “us”), operated by Rachel Swallow, collects and uses your personal data when you use this website or get in touch. We are the “data controller” for the purposes of UK data protection law (UK GDPR and the Data Protection Act 2018).

The information we collect

• Contact form details — your name, email address, and any phone number, subject and message you choose to send us.
• Mailing list subscription — your email address, if you choose to sign up. We only add you when you ask us to, and you can unsubscribe at any time using the link in every email.
• Health and accessibility information — only if you choose to tell us about it. Before a session you may let us know about a health condition, pregnancy, sound sensitivity, or an accessibility or sensory requirement, so that we can advise whether a session is suitable and adapt it for you. You are never obliged to share this, though it may mean we cannot confirm a session is appropriate.
• Booking information — public sessions are booked through Eventbrite, which collects your details under its own privacy policy. Private and bespoke sessions are arranged directly with us, so we hold the booking details you send.
• Basic technical data — our hosting provider may log standard information such as IP address and browser type for security and performance.

How and why we use it

• To respond to your enquiries and arrange sessions (our lawful basis is your consent and/or steps taken at your request prior to a contract).
• To make sure a session is safe and suitable for you, and to make any adjustments you need. Health information is “special category” data under UK GDPR, and we process it only with your explicit consent (Article 9(2)(a)), which you can withdraw at any time. We use it for that purpose alone — never for marketing — and we do not share it with anyone.
• To send you our mailing list emails, if you have asked for them (our lawful basis is your consent, which you can withdraw at any time by unsubscribing).
• To keep the website secure and working properly (our legitimate interests).
• Where required, to comply with our legal obligations.

Who we share it with

We do not sell your data. We use trusted service providers who process data on our behalf:

• Vercel — website hosting and privacy-friendly, cookieless analytics.
• Resend — delivering contact-form emails to us, and storing the mailing list and sending those emails.
• Sanity — managing blog content.
• Eventbrite — session bookings and payments.

Some providers may process data outside the UK; where they do, we rely on appropriate safeguards such as the UK International Data Transfer Agreement.

How long we keep it

We keep enquiry correspondence only for as long as needed to help you and for our reasonable business records, after which it is deleted.

Any health or accessibility information you share is kept only for as long as it is needed for the sessions you are attending, and is then deleted. You can ask us to delete it sooner at any time.

If you subscribe to the mailing list, we keep your email address until you unsubscribe or ask us to remove it, whichever comes first.

Cookies and analytics

This website does not use advertising cookies, and we do not track you across other websites. Any cookies set are strictly necessary for the site to function.

To understand which pages are useful, we use Vercel Web Analytics. It is privacy-friendly by design: it sets no cookies, does not store a persistent identifier on your device, and does not follow you around the web. It records anonymous, aggregated information such as the page visited, referring site, and general device type. It cannot be used to identify you, and because no cookies are involved, we do not need to ask for your consent to use it.

Your rights

You have the right to access, correct, delete or restrict use of your personal data, and to object to processing or withdraw consent. To exercise any of these, email [email protected]. You also have the right to complain to the UK Information Commissioner’s Office (ICO) at ico.org.uk.

Changes to this policy

We may update this policy from time to time. The date at the top shows when it was last revised.
